The deploy

Timing, technical lift, what happens on Day 1.

How long does it actually take to go live?
Five days from kickoff to live, in most cases. We start with a 30-minute kickoff and a 45-minute discovery on Day 1, then build, connect, and test against your stack across the next four days. Queen’s voice training intake takes seven days end-to-end (we layer it into the build). You get a written go-live read-out at the end — no logins to babysit.
Do I need to be technical?
No. This is done-for-you, not DIY. We build, connect, test, and tune. You get a weekly written read-out and a human you can call. No dashboards to babysit, no agents to prompt yourself.
How is this different from buying a software platform?
A platform sells you tools and asks you to make them work. The Hive is the opposite — we run it. The agents are configured, monitored, and tuned by our team against your business. You’re hiring an outcome, not a software subscription. If you want to log into a dashboard and prompt agents yourself, you don’t want HiveOps.
Will my front-desk team feel replaced?
No — and we’d push back if that’s the goal. The Hive picks up the work that’s already falling through the cracks: missed calls after hours, leads that take four hours to follow up on, reviews that never get requested, payments that don’t get chased. Your humans keep doing the work humans do best. The Hive does the work nobody had time for.

The stack

What we plug into, what we replace, what about regulated data.

I already use a CRM / scheduler / review tool. Do you replace them?
We work with what you have. The Hive integrates with GoHighLevel, Mindbody, Vagaro, Calendly, HouseCall Pro, Jobber, and most anything with an API. If your tool has a public endpoint, we can reach it directly or via a Zapier/Make.com bridge. The goal is to make your existing stack pull harder, not to swap it out.
What about healthcare and regulated verticals?
For healthcare, legal, and other regulated operators, we deploy HIPAA-compliant configurations with BAA agreements and Keragon-bridged data flows. All SMS runs A2P 10DLC compliant. Data access is scoped tightly — only the agents that need a data source see it.
How do you handle our customer data?
Your data stays in your systems. The Hive reads and writes through scoped API access — we don’t pull customer records into a separate database. Each agent gets the minimum access it needs to do its job, no more. For regulated verticals, we sign a BAA before any PHI flows. For everything else, we follow the same principle by default: least access, scoped permissions, audit trail.
Can I see what an agent says before it goes live?
Yes. Every agent runs through a review pass before go-live. You see the call scripts, the SMS copy, the email templates, the review-response patterns. Anything in your business voice that doesn’t sound like you, we tune. Once live, the weekly read-out tells you what each agent did and what we changed.

What’s the commitment on each tier?
Voice Pilot: 60-day pilot, $1,000 setup at signing — monthly clock starts the day Queen goes live. After 60 days, convert to Core or Max, stay voice-only month-to-month, or walk. Core Hive and Max Hive: 90-day minimum from go-live (that’s how long it takes to fully tune the lifecycle agents and Queen’s voice across your stack), then month-to-month. Elite Hive + The Swarm: scoped to the engagement — cadence, access, term spelled out before signing. No long-term contracts on any tier. When service ends, automations stop running and your data leaves with you — call logs, customer records, lead history, content, the weekly read-outs.
What’s the difference between Core Hive and Max Hive?
Core Hive runs four lifecycle agents — Capture, Qualify, Convert, Onboard — plus Queen on voice. Those are the agents whose absence is what most SMB owners are losing money on right now: every inbound caught, routed, booked, and shepherded to a yes. Max Hive runs all ten lifecycle agents — Attract, Capture, Qualify, Nurture, Convert, Onboard, Retain, Reputation, Recover, Insights — plus Queen across every customer-facing channel. Core stops the bleeding. Max grows the business. The price step ($2,500 → $5,000) maps to the value step.
I have multiple locations — how does that work?
Per-location pricing rewards multi-location operators without commoditizing single-location pricing. Location 1 runs at full tier rate. Location 2 runs at −25%. Locations 3 through 5 run at −40%. Six or more locations is custom — different conversation. Setup is full at location 1, half-setup at clone locations. Concrete: 3 Core Hive locations runs $5,875/mo (vs. $7,500 if charged flat). Each location gets its own Queen instance with isolated voice training — no cross-leakage between operators.
What if it doesn’t work for my business?
The 45-minute discovery is free and direct. If we can’t see a leak big enough to justify the build, we’ll say so on that call. The Pilot is structured precisely for this question — 60 days on real call volume tells you whether Queen earns the conversion. If she doesn’t, you walk; the structure is designed for honest exits, not pressure. On Core or Max, if the Hive isn’t pulling by Day 60, we sit down and rescope — no long-term contract holds you.
Can I start with the Voice Pilot and convert to Core or Max later?
Yes — that’s the canonical path for operators starting from zero with us. The Pilot puts Queen on inbound voice for 60 days at $1,000/mo, $1,000 setup. On day 50, we book a 30-minute conversion call. Three options: convert to Core Hive ($2,500/mo, $2,500 setup, voice + 4 lifecycle agents), convert to Max Hive ($5,000/mo, $5,000 setup, voice + all 10), stay voice-only month-to-month at $1,000/mo, or walk. The voice training, identification rules, and quality discipline are identical between the Pilot and the full Hive — the only difference is channel coverage and agent breadth. See the Voice Pilot →
What if Queen says something wrong on a call?
Three layers of protection. (1) Per-instance isolation — your Queen’s training doesn’t leak across other operators, so updates roll only on your operator’s voice profile. (2) Staged rollouts — voice-model updates roll out 5% canary → 25% → 100% over 72 hours. If something breaks, it breaks on a small slice and gets rolled back, not on every call. (3) Explicit kill switch with 1-hour human-takeover SLA — if Queen goes sideways in production, your calls go to a human handler within an hour and you get a written read of what broke. Queen also introduces herself by name on first contact and never claims to be human; out-of-scope questions escalate to you in 60 seconds via SMS.
Can I add The Swarm alongside the Hive?
Yes — most multi-location operators and growth-stage founders compose both. The Hive runs the front desk; The Swarm reads what the numbers mean. Three Swarm shapes: Elite Hive + The Swarm (the relationship layered inside the Hive — scoped, no published rate), Swarm Monthly (standalone retainer, $5,000/mo, four scheduled touchpoints per quarter — growth briefing, business review, growth plan, decision-when-can’t-wait), and Swarm Project (single scoped engagement, $5K–$25K — market entry, fundraising prep, vertical pricing review). What happens to my data if we cancel?
Your data leaves with you. When service ends, automations stop running and you get a clean export — call logs, customer records, lead history, content, the weekly read-outs. We don’t hold data hostage to a renewal. The relationship is built to end cleanly when it ends; the structure is designed for honest fits and honest exits.
